The short version: Civimetric is a construction cost intelligence tool built for civil engineers and homeowners in India. We collect only what we need to run the service. We do not sell your data. We do not use your queries to train AI models. The construction queries you send us — rates, BOQ inputs, project details — stay between you and us.

01 Who We Are

Civimetric (“we”, “us”, “our”) is an AI-powered construction rate and estimation platform developed and operated from Pune, Maharashtra, India. Our platform helps civil engineers, contractors, and homeowners look up DSR/SSR rates, generate Bills of Quantities (BOQ), check running bills, derive rates for non-scheduled items, and estimate project costs — using government rate schedules including Maharashtra PWD SSR, MJP SSR, Maharashtra WRD CSR, and CPWD DSR.

Under India's Digital Personal Data Protection Act, 2023 (DPDP Act) and the rules notified in November 2025, Civimetric operates as a Data Fiduciary — meaning we determine the purpose and means of processing any personal data you share with us.

This Privacy Policy explains what data we collect, why we collect it, how we use and protect it, and what rights you have over it. Please read it carefully before using Civimetric.

02 What We Collect

We collect two broad categories of information: data you give us directly, and data generated automatically when you use the platform.

Information You Provide Directly

  • Account details: Name and email address when you register or sign up for early access.
  • Query inputs: The construction-related questions you type into Civimetric — item descriptions, work categories, state or district, project specifications, quantities for BOQ generation, or rate comparison parameters.
  • Project information: If you use the BOQ assistant or budget estimator, you may provide project location, area, type (residential or commercial), and scope details.
  • Support communications: If you contact us by email or through feedback forms, we receive and store those messages.

Information Collected Automatically

  • Usage data: Pages visited, features used, time spent, query frequency, and button clicks.
  • Technical data: IP address, browser type, device type, operating system, and referring URL.
  • Session identifiers: Temporary tokens to keep you logged in and to associate queries within a single session.
  • Error logs: Technical error reports when something goes wrong, to help us fix bugs and improve reliability.

What We Do Not Collect

We do not collect payment information (Civimetric is currently free to use). We do not collect government IDs, Aadhaar numbers, financial records, or any sensitive personal data as defined under the DPDP Act. We do not integrate with social media logins and do not collect data from social platforms.

03 How We Use Your Information

We use the information we collect strictly for the following purposes:

  • To operate Civimetric: Process your rate queries, generate BOQ outputs, run cost comparisons, and deliver accurate results from our DSR/SSR database.
  • To maintain your account: Authenticate logins, remember your preferences, and maintain session continuity.
  • To improve the platform: Understand which features are being used, identify common query patterns in aggregate, and fix bugs.
  • To communicate with you: Send product updates, respond to support queries, and notify you of significant changes. We do not send promotional emails unless you have explicitly opted in.
  • To comply with the law: Respond to lawful requests from Indian government authorities or courts if legally required to do so.

We do not use your data for advertising. We do not build behavioural profiles to sell or licence. We do not run any advertising-based business model on Civimetric.

04 How AI Processes Your Queries Important

Civimetric is powered by AI language models. When you submit a query, that query is sent to third-party AI providers to generate a response. Here is exactly how that works.

AI Providers We Use

  • Google Gemini 1.5 Pro (primary): Your query and relevant context from our DSR/SSR knowledge base are sent to Google's AI API. API inputs are not used to train Google's models.
  • Groq — LLaMA 3.3 70B (fallback): Used when the primary model is unavailable. Same privacy terms apply — API inputs are not used for model training.

What Gets Sent to AI Providers

When you ask Civimetric a question, we send the AI provider: your query text, relevant retrieved context from our DSR/SSR database (not your personal account details), and a system prompt that instructs the model how to behave. We do not send your name, email address, or account information to AI providers.

AI Does Not Train on Your Queries

Civimetric does not use your queries or project details to fine-tune, retrain, or improve any AI model — ours or anyone else's. Your project specifications are not training data.

AI Outputs Are Not Professional Advice

Note: Rates and estimates generated by Civimetric are based on government rate schedules indexed in our database and AI inference. They are reference information only. Civimetric outputs do not constitute certified estimates, tendering advice, or legal rates for government billing purposes. Always verify critical figures with the official published schedule for your jurisdiction and year.

05 Who We Share Data With

We share your data only in the following limited circumstances, and never for advertising or commercial resale.

AI Processing Partners

Your query content is processed by Google (Gemini API) and/or Groq (LLaMA API) to generate responses. Both operate under data processing agreements with enterprise-grade privacy terms.

Infrastructure and Hosting

Civimetric is hosted on Coolify (backend) and Vercel (frontend). These providers host the platform and may process data incidentally as part of service delivery. They do not have independent access to your data for their own purposes.

Legal Obligations

We may disclose information if required by a court order, government regulation, or applicable Indian law. We will attempt to notify you of such requests where legally permitted.

Business Transfers

If Civimetric is acquired, merged, or substantially reorganised, your data may be transferred to the new entity. We will notify users before any such transfer.

We do not sell your personal data. We do not share it with data brokers, advertisers, or marketing platforms.

06 Data Retention

We keep your data only as long as necessary for the purpose it was collected:

  • Account data (name, email): Retained for the life of your account, deleted within 30 days of account deletion unless legally required to retain.
  • Query logs: Retained for up to 90 days for debugging and improvement, then purged or anonymised.
  • Usage and analytics data: Aggregated and anonymised within 180 days.
  • Error logs: Retained for up to 30 days, then deleted.
  • Support communications: Retained for up to 1 year for continuity, then deleted.

When you delete your account, we initiate deletion of your personal data within 30 days. Some anonymised, non-identifiable aggregate statistics may remain in our analytical records.

07 How We Protect Your Data

We take reasonable and appropriate security measures to protect your information:

  • Encryption in transit: All data between your browser and Civimetric's servers is encrypted using HTTPS/TLS.
  • Access controls: Only members of the Civimetric development team with a need to access data can do so.
  • Secure infrastructure: Our backend is hosted on Coolify with isolated containers.
  • No plaintext passwords: Passwords are hashed using industry-standard algorithms and never stored in readable form.

Despite our best efforts, no internet-connected system is completely secure. In the event of a personal data breach, we will notify affected users and the Data Protection Board of India as required under the DPDP Act.

08 Your Rights Under Indian Law

Under India's Digital Personal Data Protection Act, 2023, you have the following rights:

  • Right to know: You can ask us what personal data we hold about you and for what purpose.
  • Right to correction: If data we hold is inaccurate or incomplete, you can request that we correct it.
  • Right to erasure: You can request that we delete your personal data within 30 days, subject to legal obligations.
  • Right to withdraw consent: Where we process your data on the basis of consent, you may withdraw that consent at any time.
  • Right to grievance redressal: If you are unhappy with how we handle your data, you can escalate to the Data Protection Board of India.
  • Right to nominate: You may appoint a nominee to exercise your data rights on your behalf in the event of death or incapacity.

To exercise any of these rights, write to us at the contact address below. We will respond within 30 days.

09 Cookies and Analytics

Civimetric uses a small number of cookies to keep the platform functional:

  • Session cookies: Essential for keeping you logged in during a session. These expire when you close your browser.
  • Preference cookies: To remember settings like your selected state or last-used DSR source.
  • Analytics cookies: If we use an analytics service, it may use a cookie to count visits. We do not use Google Analytics. We do not run advertising trackers.

You can disable cookies in your browser settings. Disabling essential session cookies may prevent Civimetric from functioning correctly.

10 Children's Privacy

Civimetric is designed for professional and semi-professional use by civil engineers, contractors, project managers, and adult homeowners. We do not knowingly collect personal data from anyone under the age of 18. If we become aware that a minor has created an account, we will delete that data promptly.

11 Changes to This Policy

As Civimetric grows and as Indian data protection law continues to develop, we will update this policy. When we make material changes, we will notify registered users by email and post a prominent notice on the platform for at least 14 days before the changes take effect.

Your continued use of Civimetric after the effective date of any changes constitutes your acceptance of the updated policy.
